Account directors and producers can ask about a job’s budget, hours, third-party costs, invoices and payments without waiting for a report. Each answer shows where its figures came from, when they were read and what’s missing. Ask in your Ask Lesley workspace, or from ChatGPT or Claude through a connection your agency controls.

Timesheets

Complete timesheets without the Friday chase.

A reminder only tells someone their timesheet is short. Lesley works out what’s missing, then messages the person in Google Chat with a suggested fix from their calendar. They confirm or change the hours. Only the week they confirm is posted to Paprika, and the whole week is checked afterwards.

Supplier invoices

From the inbox to Paprika, checked on the way.

Suppliers keep emailing your finance mailbox. Lesley reads each invoice, matches the supplier and suggests the job, nominal code and VAT. It checks the totals and looks for duplicates. Your finance lead reviews the exact entry beside the original PDF. Once it’s approved, Lesley posts it to Paprika, then reads back the supplier, reference and totals to check they match.

Our team configures every pilot agency with your finance lead. Here is what happens, in order.

  1. Connect

    We connect Paprika with a dedicated login your agency owns, plus your finance mailbox and Google Workspace. Xero too, if your ledger lives there.

  2. Configure

    With your finance lead we map jobs, nominal codes, VAT, approvers and leave codes, and agree what stays manual.

  3. Work together

    Lesley prepares answers, timesheet fixes and invoice entries. Your team reviews and approves each one.

  4. Measure

    Each month you get a report of what Lesley handled, what was corrected and how long approvals took. We only talk about time saved once we have measured it with you.

Nothing posts without a person.

A finance team can only rely on an assistant it can audit. Every change Lesley makes is proposed, approved, posted and then checked.

Exact approvals

An approval covers the exact supplier, job, amounts and destination. Change anything and it needs approving again.

Originals kept

The original email and PDF stay attached to every invoice, fingerprinted so you can tell they haven’t changed.

Read back after posting

After each post, Lesley reads Paprika again and compares totals, references and hours with what was approved.

Held when unsure

Credit notes, foreign currency, mixed VAT and anything unclear wait for a person, with the reason shown.

No payments

Lesley never pays suppliers or moves money. A posted invoice is a bookkeeping entry, and paying it stays with you.

What finance directors ask us first.

Does Lesley replace Paprika or our finance team?
No. Paprika stays your system of record and your team makes every decision. Lesley does the preparation: finding figures, following up timesheets, reading invoices and proposing coding.
Is Ask Lesley a Paprika product?
No, it’s independent. It connects to Paprika with a dedicated login that your agency owns and can switch off at any time.
We already scan invoices in Paprika. Is Lesley still useful?
You can start with questions and timesheets and leave invoices as they are. We look at your current process during set-up and only switch on what helps.
What do we need to use Lesley?
Paprika and Google Workspace, which Lesley uses for sign-in, your finance mailbox and timesheet messages. Xero is optional. If your ledger is there, Lesley can prepare draft bills in it too.
Which AI does Lesley use? Is our data used for training?
Invoices are read with OpenAI’s API, which OpenAI says isn’t used for training by default. Before you sign, we give you the full list of providers, what each one receives and their data terms.
What happens when Lesley isn’t sure?
It stops and says why. Unclear or unsupported items wait for a person, with the reason shown.
What does set-up involve?
A kick-off call, a working session with your finance lead to map jobs, codes and approvers, and a check of each journey on your data before anything goes live.
What if we want to stop?
Switch off the Paprika login and mailbox access whenever you like. We agree how long records are kept, and how they are deleted, before the pilot starts.
